How to define documentation requirements on an RFQ

Separate mandatory certificates and tests from optional records so the final supply scope remains clear.

Documentation requirements affect sourcing, manufacturing, inspection and lead time. List each mandatory record, including material certificates, traceability, PMI, mechanical tests, dimensional reports and third-party inspection.

Where a document is optional, identify it separately. The final quotation should confirm the exact document package so acceptance criteria remain clear through production and dispatch.
